Administrative Assistant — School of Education

Functional Title: Administrative Assistant
Classification: Exempt
Division: Academics
Department: School of Education      
Reports To: Dean of SoE     

Primary Function: Provides support to Dean and Office Manager

Essential Functions: Serve as support to the Dean. Builds and maintains Dean’s calendar as well as building calendar, coordinating day to day office services and related activities including faculty schedules, purchasing supplies and equipment in accordance with university purchasing policies and budgetary restrictions, manage and maintain budget, and may participate as needed with special projects for the faculty within the School of Education.

Major Duties:

  • Manage information flow from the Dean
  • Provide support to Dean as needed
  • Answer phone/email and direct calls/messages to appropriate area
  • Responsible for standardization of office procedures
  • Schedule appointments for Dean and Advisors
  • Help advise Education students as needed
  • Request purchase orders and reimbursements
  • Record minutes at SoE, S.A.L.T. and ECP meetings
  • Travel arrangements for conferences and the SoE Ecuador mission trip
  • Collect and deposit SoE donations
  • Manage Operating and Restricted Budgets
  • Maintain building calendar
  • Oversee Media Lab student workers
  • Coordinate events for SoE (Living Legends Reception, Party on Patio, etc.)
  • Order supplies as needed

  • Skill in the use of standard office equipment and computer software including knowledge of Microsoft Word, Excel, and Outlook
  • Ability to communicate effectively over the phone and in person with all constituents

Education and Experience:

High school diploma or equivalency with 6-12 months job related experience. Experience in supervising the work of others is preferred but not required.

Physical Requirements:

The ability to sit and stand sporadically. Ambulatory capacity to daily navigate multiple flights of stairs. Frequently use wrist, hands and/or fingers to make small repetitive movements such as typing and picking up small objects. Ability to talk frequently to convey detailed or important instructions or ideas accurately, loudly or quickly and must be able to hear average or normal conversations and receive verbal information, and occasionally required to lift supplies and/or move objects up to 25 pounds. Visual abilities to prepare or proof documents or operate basic office equipment are necessary.
