Administrative Assistant — College of Education

Functional Title: Administrative Assistant
Classification: Fulltime: Hourly, non-exempt

Reports To: Dean of College of Education

Primary Function: Provides support to Dean and Building/Office Manager

Essential Functions: Serve as support to the Dean. Builds and maintains Dean’s calendar as well as building calendar, coordinating day-to-day office services and related activities including faculty schedules, purchasing supplies and equipment in accordance with university purchasing policies and budgetary restrictions, managing and maintaining budget, and may participate as needed with special projects for the faculty within the College of Education. 

Major Duties:

  • Manage information flow from the Dean
  • Provide support to Dean as needed
  • Coordinate events for CoE (Chap and BIG Blue Days, Retreats, Graduate reception, Homecoming, Living Legacy, Advisory Board, Party on Patio, Job Fair etc.)
  • Recruit/Train/Supervise student workers (Media Lab and Ambassadors)
  • Maintain building calendar and maintenance.
  • Request purchase orders and reimbursements
  • Manage Operating and Restricted Budgets
  • Record minutes at CoE, C.A.L.T. and ECP meetings
  • Answer phone/email and direct communication to appropriate area
  • Responsible for standardization of office procedures
  • Schedule appointments for Dean and Advisors
  • Travel arrangements for conferences
  • Collect and deposit CoE donations, donor communications
  • Order supplies as needed
  • Help advise Education students as needed
  • Maintain social media platforms (i.e. Facebook, limited Instagram, etc)

JOB REQUIREMENTS

Minimum Qualifications:

  • Strong verbal and written communication skills
  • Excellent customer service skills
  • Knowledge of office practices and administrative procedures
  • Skilled in the use of standard office equipment and computer software including knowledge of Microsoft Suite
  • Ability to communicate effectively over the phone and in person with students, staff, faculty and administration
  • Must uphold and support the mission and core values of Lubbock Christian University

Education and Experience:

High school diploma or equivalency with 6–12 months job related experience. Experience in supervising the work of others is preferred but not required.

Physical Requirements: 

The ability to sit and stand sporadically. Ambulatory capacity to daily navigate multiple flights of stairs. Frequently use wrist, hands and/or fingers to make small repetitive movements such as typing and picking up small objects. Ability to talk frequently to convey detailed or important instructions or ideas accurately, loudly or quickly and must be able to hear average or normal conversations and receive verbal information and occasionally required to lift supplies and/or move objects up to 25 pounds. Visual abilities to prepare or proof documents or operate basic office equipment are necessary.
