Administrative Assistant, Athletics

Functional Title: Administrative Assistant
Classification: Full Time/Non-Exempt (Hourly)
Division: Athletics Administration
Department: Athletics
Reports To: Director of Athletics
Primary Function: Provide administrative support

Major Duties:

  • Provides high-level administrative support to the Director of Athletics, including calendar management, scheduling, and meeting preparation.
  • Manages office operations and provides clerical and administrative support to the AD and staff.
  • Liaison for daily communication on behalf of the AD, including the coordination of necessary meetings.
  • Supports the office with contact reporting, expense reports, and follow-ups.
  • Assists with the preparation of presentations, reports, and materials for internal meetings, donor visits, and formal athletic department updates to key stakeholders.
  • Takes notes during meetings, tracks action items, and ensures timely execution of follow-up responsibilities.
  • Assists with fundraising efforts, including donor cultivation and stewardship.
  • Collaborates with other departments on campus and outside constituents.
  • Maintains strong working relationships with campus departments such as Advancement, Admissions, Finance, and President’s Office.
  • Maintains confidential personnel files, evaluations, and contract records in accordance with university policies.
  • Supports special projects, strategic initiatives, and reporting needs by gathering data, developing presentations, and coordinating across internal teams.

Other:

  • Become familiar with university and athletic department processes, policies, and procedures to ensure effective day-to-day operations.
  • Maintain the highest level of confidentiality, sensitivity, and security when handling personnel, student-athlete, and departmental data.
  • Perform other duties as assigned in support of the Director of Athletics and overall athletic department initiatives.

  • Comfortable representing our office to coaches, donors, faculty, and external partners
  • Ability to stay on task and complete tasks in a timely manner
  • Maintains a high level of confidentiality
  • Ability to adapt to changes in the work environment
  • Professional attitude and appearance are necessary
  • Read, understand, and consistently apply and adhere to LCU policies and University department procedures

Education and Experience:

  • Bachelor’s degree preferred
  • Collegiate Athletic Experience preferred

Physical Requirements:

While performing the essential duties of this job, the employee will be required to do the following:

  • Be ambulatory around campus and in buildings.
  • Required to regularly sit and stand.
  • Frequently use wrist, hands and/or fingers to make small repetitive movements such as typing, distributing mail and picking up small objects.
  • Ability to talk frequently to convey detailed and/or important instructions or ideas accurately, loudly or quickly.
  • Be able to hear average or normal conversations and receive verbal information.
  • Required to lift packages and/or move heavy objects, 25+lbs.
