Primary Function: Assistant to the Library Director
Library:
The LCU Library supports the Lubbock Christian University educational experience by connecting the academic community of learners to information and services that advance scholarly inquiry. Library support staff provide services to assist Library faculty and students as needed to this community of learners.
Essential Functions:
The library seeks an administrative support staff member to assist the Library Director in day-to-day maintenance of the Library and ongoing maintenance of the library’s bookkeeping.
Principal Responsibilities:
Administrative:
- Manage daily telephone and email messages for self and Library Director as needed
- Assist director with meeting arrangements and keep library meeting minutes
- Maintain the office calendar to include holidays and other events as needed
- Pick up and sort daily mail for the library
- Manage vendors used by library and maintain files for each
- Correspond with vendors, research prices and availability of books, media, services and supplies requested
- Maintain office supplies inventory
- Order library office supplies as needed
- Coordinate conference and travel arrangements for library employees
- Maintain student worker contracts along with preparation and submission of their work time
- Have a working knowledge of FERPA policies/procedures and how to apply
- Attend required meetings and participate in college committees and councils where relevant
- Be proficient in knowledge of circulation and basic public services for the purpose of coverage when needed
- Supervise student workers when needed
- Assist with seasonal library projects as required by the Library Director
- Perform other job-related duties as assigned by the Library Director
Financial:
- Oversee library expenditures; reconcile library budget and university general ledger
- Prepare purchase orders and invoice-payment requisitions for director’s approval
- Track library materials as they are received and submit documentation to appropriate library employees as needed
- Maintain files and produce reports (invoices, allocations, restricted accounts, expenses, standing orders) as requested
- Create and maintain spreadsheets or forms to fit changing office needs and procurement procedures
- Maintain library cash drawer’s separate funds and make deposits to the business office
Job Requirements (Minimum Qualifications)
Education and Experience:
- Bachelor’s degree preferred; Associate degree and related work experience may be considered
- Past work with library and bookkeeping experience preferred; related work experience may be considered
Knowledge, Skills and Abilities:
- Ability to plan and organize
- Budgeting, bookkeeping, expense reports
- Proficiency in common office programs and software, particularly Microsoft Office products
- Ability to communicate effectively both verbally and in writing
- Ability to deal with high volume of work in a short period of time
- Must uphold and support the mission and core values of Lubbock Christian University
- Ability to maintain confidentiality is essential
Physical Requirements:
While performing the essential duties of this job, the employee will be required to do the following:
- Able to lift and carry materials up to 50 pounds
- Push and pull book carts up to 1,000 pounds
- Possible exposure to dust, fumes, mechanical and electrical hazards
- Required to regularly sit and stand
- Frequently use wrist, hands and/or fingers to make small repetitive movements such as typing, distributing mail and picking up small objects
- Ability to hear average or normal conversations and receive verbal information
- Ability to talk frequently to convey detailed and/or important instructions or ideas accurately, loudly or quickly
- Ambulatory around campus and in buildings
