Administrative Assistant, University Advancement

Functional Title: Administrative Assistant
Classification: Full Time/Non-Exempt
Department: University Advancement
Reports To: VP University Advancement (primary); Director of Advancement Operations (secondary)

Primary Function: Provide administrative support for VP University Advancement while working in a support role for Advancement Operations

Major Duties:

  • Supports VPA and Major Gift Officers with contact reporting, expense reports, and donor stewardship follow-up.
  • Manage office operations and provide clerical and administrative support to the VPA, Advancement staff, and Alumni staff.
  • Front office presence, welcoming and connecting visitors to campus contacts.
  • Collaborates with President’s Office on Advancement efforts.
  • Liaison for reporting/data for university, including events and scholarship thank you processes.
  • Enters data into university advancement software according to prescribed standards established by the university.
  • Performs quality reviews of information prior to it getting entered and continuously reviews data for corrections.
  • Ability to perform data queries as requested by the database manager.
  • Create or run reports, and other various data outputs as prescribed by the needs of the university.
  • Coordinates with database manager regularly on other database maintenance projects as needed. 

Other: 

  • Become a technical and knowledgeable resource of the university advancement software.
  • Become knowledgeable of the university advancement processes and procedures.
  • Maintains high level of confidentiality, sensitivity, and security of all advancement related data files at all times.
  • Perform other related duties as assigned.

JOB REQUIREMENTS

  • Innate ability to multitask and solve problems
  • Strong organizational skills
  • Experience in Microsoft Office products (MS Word, Excel, Outlook) *and presentation software (preferred)
  • Comfortable communicating with alumni, donors, and the campus community (electronically, by telephone, and in person)
  • Positive attitude. Eager to help. Enjoys being in a team support role
  • Ability to stay on task and complete tasks in a timely manner
  • Maintains a high level of confidentiality
  • Ability to adapt to changes in the work environment
  • Professional attitude and appearance are necessary
  • Read, understand, and consistently apply and adhere to LCU policies and University Advancement department procedures
  • General understanding of databases
 

Education and Experience:

  • Associates or Bachelor’s degree preferred
  • Advanced Microsoft Excel skills preferred

Physical Requirements:

While performing the essential duties of this job, the employee will be required to do the following:

  • Be ambulatory around campus and in buildings.
  • Required to regularly sit and stand.
  • Frequently use wrist, hands and/or fingers to make small repetitive movements such as typing, distributing mail and picking up small objects.
  • Ability to talk frequently to convey detailed and/or important instructions or ideas accurately, loudly or quickly.
  • Be able to hear average or normal conversations and receive verbal information.
  • Required to lift packages and/or move heavy objects, 50+lbs.

NOTE: All LCU employees are required to complete Title IX & Information Security (FERPA) training and Data Security Training at the time of new hire and on an annual basis thereafter. Some positions/departments may require additional training for security or data needs.
