The Student Business Office—sometimes called Student Accounts, the Bursar’s Office, or the Cashier’s Office—is here to help guide you through the financial side of your college experience. Whether you’re looking at billing, payment plans, or refunds, our goal is to make the process as smooth, accurate, and transparent as possible. We're here to support you and your family every step of the way.
Clear and Timely Billing
- We send notifications when your tuition and fee bill is ready to view on the student portal.
- We post charges for things like classes, housing, meal plans, and other campus services.
- We keep you updated on billing cycles, due dates, and any changes to your account so there are no surprises.
Flexible Payment Options
- We accept payments online, in person, or by mail—whatever works best for you.
- We offer monthly payment plans to help make tuition more manageable.
- We’re here to make sure your payments are applied correctly and on time.
Refunds and Financial Aid Credits
- We handle refunds for things like overpayments, dropped classes, or extra financial aid.
- We work closely with Financial Aid to get your excess funds to you as quickly as possible.
- We also help you set up direct deposit—either with your own bank or through Herring Bank—for fast, secure refunds.
Account Holds and Support
- If there's a balance on your account, we may place a hold that can temporarily pause things like class registration or transcript requests. Don’t worry—we’ll let you know why the hold is there and help you take the steps to get it cleared.
Tax Documents (1098-T)
- We prepare and share the 1098-T tax form each year, which can help you or your family claim education tax credits.

Third-Party Billing
- We handle billing and payments from third-party sponsors like employers, government programs (such as VA or Workforce Solutions), tribal agencies, and scholarship foundations.
- We work to make sure all the paperwork and invoicing get done so payments arrive on time.

To make a one-time payment, log in to your student portal and go to:
Hamburger Menu >> My Student Account >> Payment Portal >> Make a Payment.
From there, you can enter your payment amount and method (eCheck or credit/debit card).
Students making payments from outside the U.S. can use our international payment portal, typically powered by providers like Flywire or PayMyTuition. These services allow you to pay in your home currency, offer competitive exchange rates, and ensure your payment is tracked and delivered securely to the university. To use a 529 College Savings Plan to pay your tuition or fees, you’ll typically need to request a disbursement directly from your plan provider. Since processing can take time, request disbursements early to avoid late fees. The funds can either be sent:
- Directly to the university – Be sure to include your full name and student ID on the payment to ensure proper processing.
- To the account holder – You can then make a payment to the school yourself.
Please be aware of the following potential fees associated with unpaid balances and missed payments:
- Late Settlement Fee ($200): Students who do not have an account settlement agreement in place by the designated deadline will be charged a $200 late fee. This fee may be appealed in person. This applies regardless of the remaining balance and is intended to promote timely payment and financial accountability for the semester.
- Late Payment Plan Fee ($30): If you are enrolled in an in-person payment plan and miss a scheduled monthly payment, a $30 late fee will be assessed for each missed, late or partial installments (cannot appeal). After three late payments, the payment plan may be canceled, and the full remaining balance will become immediately due, and an account hold will be applied.
We offer two types of payment plans to help you manage your semester balance:
- Auto-Draft Plan: Set up through your student portal, this plan automatically drafts monthly payments from your chosen payment method. A $62 startup fee applies. Fall and Spring semesters only.
- In-Person Plan: Set up with our office, this plan requires you to make manual payments by the 15th of each month. A small down payment is required to get started. To request an in person payment plan, please go here: In Person Payment Plan
- Extended In-Person Plan: Similar to the In-Person Plan, this extended plan is set up through our office and requires manual monthly payments by the 15th of each month over a period of 36 months. While on this plan, you will not be eligible to register for any future semesters until the balance is paid in full. A small down payment is required to enroll.
A Student Business Office hold is placed on your account when there is an unresolved financial issue, such as an unpaid balance. This hold can prevent registration, and access to other university services until the balance is resolved.
If you are no longer enrolled, you are still responsible for any remaining balance on your student account. Balances not paid within 90 days of leaving the university may be sent to collections. You can resolve your balance by paying over the phone, visiting our office, or requesting an extended payment plan.
If a balance remains unpaid, it may be turned over to a third-party collection agency. Our university partners with Williams & Fudge, a professional collections agency that assists in recovering unpaid student account balances. If your account has been referred to them, you can contact Williams & Fudge directly at 1-800-849-9791 to make payment arrangements.
A true credit on a student account means there is an actual overpayment or excess funding, resulting in a negative balance. This amount can typically be refunded to the student or applied to future charges.
- Processing Time
- After your aid posts, the system needs 14 days to finalize and prepare your refund.
- Notification from Herring Bank
- Once your refund is sent to the clearinghouse, you’ll receive an text message from Herring Bank notifying you that your disbursement is on the way.
- Direct Deposit Selection Required
- You must log into your student portal and make a direct deposit selection to indicate where you want the funds sent.
- Disbursement Timing
- After setting up your direct deposit, it may take up to 48 hours for the funds to appear in your chosen account.
Herring Bank is LCU’s banking partner and offers students a faster way of receive their stipends through direct deposit. Any emails from them are legitimate and not considered a risk.
The Loan Disbursement Form allows you to choose how you want any excess loan funds (stipends) to be handled—either moved to future terms in the same academic year, refunded to you or held on account until the end of the semester. 1098-T Tax Form
- 1098-T tax forms will be available to students via their Student Portal.
- Prior students who no longer have access to their portal may contact the Student Business Office for assistance.
- All 1098-T tax forms will be made available to students no later than January 31st each year. Note: Not all students receive a 1098-T. If you did not receive one and were expecting it to, please contact the Student Business Office.
- The form reports qualified tuition and related expenses to help with claiming education-related tax credits.

Make checks payable to Lubbock Christian University and be sure to include the student’s full name and student ID number on the check or in an attached memo to ensure proper crediting to the account.
FERPA, the Family Educational Rights and Privacy Act, is a federal law that protects the privacy of student education records. It gives students the right to:
- Access their education records
- Request corrections to inaccurate information
- Control who can see their records (with certain exceptions)
Under FERPA, universities cannot release your education records to third parties without your written consent, except for specific allowed cases such as school officials with legitimate educational interests or in emergencies.
An authorized user is someone you give permission to view your student account details and make payments on your behalf—such as a parent, guardian, or sponsor.
To set up an authorized user, log in to your student portal and navigate to:
Hamburger Menu >> My Student Account >> Payment Portal >> Click on Image >> My Profile >> Invite User
From there, you can add the person’s contact info and set permissions. You must do this for each contact you want to have access to your account.

- Don’t ignore balance notices—late fees and holds can happen quickly.
