Functional Title: Administrative Assistant for Liberal and Performing Arts
Classification: Full Time - Hourly
Division: Hancock College
Department: Liberal Arts; Visual and Performing Arts
Reports To: Dean, Department Chair of Visual and Performing Arts
Primary Function: Assist the Dean and the Department Chair in all activities for the college and department.

Major Duties:

  • Coordinating the functions of, managing the budgets for, and assisting with recruiting and external relations for the Dean of Liberal Arts/Honors
  • Managing the department budgets, assisting with academic events, and managing the office of the Chair of Visual and Performing Arts

Job Requirements:

  • Manage college and departmental budgets and restricted accounts, including personnel action forms and requisitions.
  • Supervise student workers.
  • Prepare programs for college events and department concerts and recitals.
  • Manage building reservations and rentals.
  • Support recruiting efforts including Chap Days and contacting prospects.
  • Assist with data collection and reports for grants.
  • Assist with box office and financial details for fine arts events.
  • Manage the Salto key system to provide keys for faculty and students.
  • Assist the Honors College Advisory Council and Friends of the Arts for events.

Education and Experience:

  • Bachelor’s degree.
  • Excellent communication and collaboration abilities to work effectively with college faculty in the liberal arts and especially with art, music, and theatre faculties.
  • Time management and organization skills to prioritize tasks and meet deadlines in a fast-paced environment.
  • Knowledge of spreadsheets.
  • Ability to work independently and take initiative while also thriving in a collaborative team environment.
  • Willingness to learn and stay updated on new multimedia tools, techniques, and technologies.
  • Adaptability to working with two related campus offices.

Physical Requirements: 

While performing the essential duties of this job, the employee will be required to do the following:

  • Be ambulatory around campus and in buildings.
  • Required to regularly sit and stand.
  • Frequently use wrist, hands and/or fingers to make small repetitive movements such as typing, distributing mail, and picking up small objects.
  • Ability to talk frequently to convey detailed and/or important instructions or ideas accurately, loudly, or quickly.
  • Be able to hear average or normal conversations and receive verbal information.
  • Required to lift packages and/or move heavy objects, 25+lbs.
